Terms & Conditions

Please read these terms carefully before booking or receiving treatment at Ultra Smile Dental Studio.

  1. 01.Consultation Fee and Treatment Protocol

    All consultation fees are payable strictly via card or medical aid. We do not accept cash payments. Where applicable, patients may utilise their medical aid benefits; however, any shortfall remains the responsibility of the patient.

    All general consultations are charged at a standard fee of R2,500, regardless of the presenting concern. This fee includes a comprehensive diagnostic examination, necessary radiographs (X-rays), and a professional cleaning.

    As part of our treatment philosophy, all patients will undergo a thorough cleaning at the start of the consultation to establish a healthy baseline, allowing for more accurate diagnosis and treatment planning.

    Orthodontic (braces) consultations are charged at a standard fee of R4,400 (currently R4,000 as part of the opening special, valid 15 June – 15 July 2026; reverts to R4,400 after 15 July 2026). This fee includes a comprehensive clinical examination, professional cleaning, full orthodontic radiographs (panoramic and cephalometric X-rays), intra-oral and extra-oral photographic records, and detailed treatment planning. The orthodontic treatment plan will be communicated to the patient once completed.

    All consultation fees are non-refundable. Treatment plans provided are valid for 30 days from the date of issue, after which reassessment may be required.

  2. 02.Acceptance of Terms

    By booking an appointment, completing an intake form, or receiving any treatment at Ultra Smile Dental Studio (“the Practice”, “we”, “us”), you agree to be bound by these Terms & Conditions. If you do not accept these terms, please do not use our services.

  3. 03.Bookings & Confirmations

    All bookings are treated as requests until confirmed by the Practice in writing or by SMS. We reserve the right to decline, reschedule, or reassign appointments where clinically or operationally necessary. Patients are responsible for providing accurate contact details.

  4. 04.Cancellations & No-Shows

    We kindly request a minimum of 24 hours’ notice for any cancellation or rescheduling. Late cancellations and missed appointments may incur a fee equivalent to the reserved consultation time.

    Repeated no-shows may result in a deposit being required for future bookings or in the discontinuation of treatment at the Practice’s discretion.

  5. 05.Fees & Payment

    Full payment is due on the day of treatment. We do not accept cash payments. Payment is accepted via immediate EFT or major credit and debit cards only. Quoted fees are estimates and may change based on clinical findings; any material changes will be discussed with you before proceeding.

  6. 06.Medical Aid Claims

    Where the Practice submits claims to your medical aid as a courtesy, you remain personally liable for any portion not covered, including co-payments, shortfalls, and rejected items. It is your responsibility to confirm benefits and authorisations with your scheme.

  7. 07.Treatment Consent

    Treatment will only be performed after informed consent has been obtained. You are entitled to ask questions about any procedure, its risks, alternatives, and costs before agreeing to proceed. Consent may be withdrawn at any time prior to treatment commencing.

  8. 08.Medical History & Disclosure

    You undertake to provide accurate and complete information about your medical history, medication, allergies, and prior dental treatment. The Practice cannot be held liable for complications arising from undisclosed or inaccurate information.

  9. 09.Children & Minors

    Patients under 18 must be accompanied by a parent or legal guardian who consents to the treatment and accepts financial responsibility for the account.

  10. 10.Privacy & Data Protection

    Personal and health information is processed in accordance with the Protection of Personal Information Act (POPIA) and our Privacy Policy. Information is used solely for clinical care, account administration, and lawful reporting.

  11. 11.Communications

    By providing your contact details you consent to receive appointment confirmations, reminders, and clinically relevant communications by email, SMS, or phone. You may opt out of non-essential marketing at any time.

  12. 12.Limitation of Liability

    To the maximum extent permitted by law, the Practice and its practitioners shall not be liable for indirect, incidental, or consequential losses arising from the use of our website, booking system, or treatment outcomes that fall within the accepted standard of care.

  13. 13.Complaints

    We are committed to the highest standards of care. Concerns should be raised directly with the Practice in the first instance so that we can address them promptly and constructively.

  14. 14.Changes to These Terms

    We may update these Terms & Conditions from time to time. The current version will always be available on this page and will apply to all bookings made after its publication date.

  15. 15.Governing Law

    These terms are governed by the laws of the Republic of South Africa. Any dispute will be subject to the non-exclusive jurisdiction of the South African courts.
